How far in advance should I book a Hamptons caterer?
For a summer wedding, 9–12 months for the caterer and 18–24 months for a Saturday at a venue that hosts weddings; the average American engagement is 15 months, and the Hamptons calendar is shorter than that. For a corporate gala or conference, 6–12 months; a retreat, client dinner or holiday party, 4–6 months; 50–100 guests, 4–8 weeks. For a dinner party under twenty, two to three weeks, with 48–72 hours possible for a simple menu and three to four weeks in December or for a Friday. Off-season weddings (January to March) want six months rather than a year. A third of all catering orders nationally land in the fourth quarter, so a December party is a September booking.

Weddings
The Hamptons wedding calendar is driven by the venues, not the caterers. Summer Saturdays and Sundays at the estates, vineyards and clubs that host weddings book 18–24 months out, and a year is the floor; the vendors, including the caterer, want at least nine months. Nationally the advice is 9–12 months for a peak-season wedding of 150 or more and six months for an off-season one, and the average engagement is 15 months, with 52% of couples starting to plan a year out. Saturdays go first, then Fridays.
The caterer's own milestones follow: a tasting anywhere from 7–12 months out to six weeks before, depending on the company (some need two weeks' notice to schedule the tasting itself); the menu locked the week after the tasting; the final headcount 7–14 days before the day, with some caterers asking three weeks; the rain call 24–48 hours out, and tent companies allowing a no-penalty cancellation up to 72 hours before.
Rehearsal dinners and welcome parties
The date is fixed by the wedding, so book the Friday with the wedding caterer when you book the wedding, or a second company at the same time. A Friday on a peak weekend, Labor Day 2026 falls on September 7, is the hardest night of the year to staff.
Corporate and foundation events
Six to twelve months for a gala or a conference; four to six for a retreat, a holiday party or a client dinner; four to eight weeks for 50–100 guests; simple events in one to two weeks. In the Hamptons a July client dinner competes with weddings for the same kitchens, and a company that wants a particular caterer in August books it in spring.
Dinner parties
Two to three weeks for a party under twenty is the usual minimum; some chefs will take a simple menu on 48–72 hours' notice; Friday dates and December want three to four weeks. In August the limit is the chef's diary, not yours: the Hamptons private-chef companies surcharge July 4, the August weekends and Labor Day, and those are the weeks they are booked out.
The off-season
A third of all catering orders nationally happen in the fourth quarter and December 9 is the single busiest day for large-party catering, so a December party is a September booking, holiday corporate parties want at least two weeks and larger ones more. The Hamptons winter runs the other way from its summer: the date is easy, the staff is the question, because restaurant revenue falls 50–75% and the summer crews leave. A caterer who keeps a winter kitchen is the one to ask.
