A Hamptons cocktail party is priced by the piece and the pour: passed hors d’oeuvres run $3–5 apiece ($6–7 premium), a two-hour cocktail hour about $25 a guest in food, and a full standing reception with five passes and two stations $110–130 a person in New York City before drinks. Bar packages add $25–45 a guest for beer and wine or $40–100 for a full open bar, $75–150 for a premium Hamptons open bar. Plan one bartender per 50 guests and one server per 20–25; a four-staff minimum is common.

The format
A cocktail party is the Hamptons event that scales: forty on a deck or two hundred on a lawn, the same passed food, more of it, more bartenders. It is also the format most often under-catered, because the host counts pieces and not hours. The working numbers: three pieces a guest for a one-to-two-hour reception before dinner elsewhere, six or more for a party that is the dinner, and a raw bar or a station for anything longer than two hours. After 9 PM a party without substantial food is a party with a bar problem.

The piece and package prices are national aggregator figures; the NYC reception and bar-package numbers are a named New York company's published list and the Hamptons bar range is a 2025 regional magazine figure. Expect the administrative fee (15–25%) and Suffolk's 8.75% sales tax on the total.
Staff
One bartender per 50 guests is the rule, and on a hot July evening one per 40 is kinder. Servers run one per 20–25 for a standing party, with the kitchen staffed at one chef per 60 for cocktail service. One East Hampton caterer publishes a four-staff minimum and five-hour minimum shifts; a New York staffing agency lists waitstaff at $27 an hour, bartenders at $30, a captain at $35 and a chef at $50 with five-hour minimums, which is the arithmetic behind a $1,500 staff line for a party of 60.
The hours
Sunset decides the party. It sets at 8:26 PM on June 21 and July 4, 7:49 on August 15, 7:00 on September 15 and 6:10 on October 15, so a 6-to-8 party in June is in daylight and the same party in late September ends in the dark, with the lighting to rent and the bar to see by. July and August are the muggy months, 15–16 muggy days each; a September party is drier and windier.
The bar and the law
A private party at a private home where nobody is charged for drinks needs no state permit; a party where drinks are sold, or a fundraiser with a cash bar, needs one, and a caterer's permit under New York's Alcoholic Beverage Control Law costs $38 for up to 24 hours and can only be held by a licensed caterer. Caterers who cannot hold one will run a "dry hire" bar with your alcohol, at about $25 a guest for the setup. Corkage is a restaurant idea and rarely applies at a house; we found no Hamptons caterer publishing one.

How many servers and bartenders do I need for 100 guests?
For a plated dinner, 8–10 servers (one per 10–12 guests, one per 8 for a complex menu) and two bartenders (one per 50); for a buffet, 4–5 servers (one per 20–25) and the same two bartenders; for a standing cocktail party, one server per 20–25 and one bartender per 50, one per 40 on a hot night. In the kitchen, one chef per 40 covers plated, one per 50 buffet, one per 60 for cocktail service, with a head chef above 75 guests. What is the service charge on a Hamptons catering proposal, and is it a tip?
Usually not. The administrative or service fee, 15–25% across the market and 20% at two named Hamptons caterers, covers coordination, insurance, kitchen staff and vehicles; one Bridgehampton caterer says in writing that it is not a gratuity for the service staff. Gratuity is a separate line: one East Hampton caterer adds 15%, another leaves it discretionary. New York taxes the whole catering charge, and a mandatory gratuity escapes the 8.75% Suffolk sales tax only if it is separately stated, called a gratuity, and paid entirely to the staff; a service charge by any other name is taxed. If your proposal has a service charge and no gratuity line, ask what the staff receive.
