Chef or caterer

For twelve at the table the question is not the menu but the staff. A private chef cooks in your kitchen, usually with one assistant, serves, and leaves the kitchen clean; the price is a package and the format is a seated dinner, plated or family-style, because that is what one chef and a helper can do well. A caterer arrives with a captain, servers at one per 10–12 for plated service, a chef per 15–25 covers for a multi-course menu finished to order, and their own equipment, and is the right call above about twenty guests, for a cocktail hour before dinner, or for a kitchen that cannot support the menu. Several Hamptons companies do both and will tell you which you need.

The package covers the menu consultation, sourcing, cooking, service and clean-up, with no tipping required at the company that published it. A private-chef booking site lists East Hampton chefs at $113–138 per person depending on party size, with couples at the top of the range. Two Hamptons caterers publish their floors: events from 20 guests with a $3,250 food minimum at one, a $1,500 food-and-beverage minimum at another. Peak-season surcharges apply at some companies on July 4, August weekends and Labor Day, and the caterer's proposal for a larger dinner carries the administrative fee (15–25%) and Suffolk's 8.75% sales tax on top.

Two to three weeks is the usual minimum for a dinner party under twenty; some chefs will take a simple menu on 48–72 hours; Friday dates and December want three to four weeks. In August the constraint is the chef's calendar, not yours. The final count is the easy part: a dinner party's headcount is known.

The kitchen

A house kitchen decides the menu more than the chef does. A single wall oven and a four-burner range can plate twelve courses in sequence; they cannot plate twenty-four at once, which is why family-style and long-table menus exist. Tell the chef what the kitchen has, including whether there is a second refrigerator, before the menu is written, and expect a good one to ask.

The menu in season

The farm stands are the menu in summer: Long Island strawberries in late May and June, corn from mid-July peaking in August, tomatoes mid-July into October, peaches mid-July to mid-September, apples and pumpkins from September. Striped bass is open from April 15 to December 15 and fluke from May into mid-October. The Peconic Bay scallop season opens the first Monday of November, but the fishery has collapsed since 2019, with landings down more than 99%, so a November scallop dinner is a conversation with the chef, not a given. Oysters are the reliable local shellfish: 2.7 million came off the county's aquaculture leases in 2024.

Plated, family-style, buffet or stations: which is right for a Hamptons event?

Plated is the most staff (one server per 10–12 guests, one chef per 40 covers) and the most control, at $70–150 a person nationally; buffet is the least staff (one server per 20–25, one chef per 50) at $40–90; stations run $35–65 at the budget end and $175–350+ for chef-driven live stations, and cost more in chefs than servers; family-style sits between plated and buffet and its national pricing is genuinely inconsistent across sources. In the Hamptons all four land inside the $150–400+ local range for a wedding. The private house decides more than the budget does: a plated dinner for 150 needs a finishing kitchen and a tent for it; a buffet needs the space for the line; stations need the power.

How far in advance should I book a Hamptons caterer?

For a summer wedding, 9–12 months for the caterer and 18–24 months for a Saturday at a venue that hosts weddings; the average American engagement is 15 months, and the Hamptons calendar is shorter than that. For a corporate gala or conference, 6–12 months; a retreat, client dinner or holiday party, 4–6 months; 50–100 guests, 4–8 weeks. For a dinner party under twenty, two to three weeks, with 48–72 hours possible for a simple menu and three to four weeks in December or for a Friday. Off-season weddings (January to March) want six months rather than a year. A third of all catering orders nationally land in the fourth quarter, so a December party is a September booking.
